Automation of the Production of the ACT Seniors Card Directory.

The ACT Seniors Card directory is a small envelope sized directory of over 120 pages which lists businesses who provide discounts to holders of the ACT Seniors Card. It was recently sent to over 30,000 people in the ACT.

In the past, this directory was produced by manual editing and layout of a Word document which was then sent to a printer for technical layout before printing. The manual updating of the Word document was time consuming. It was also difficult to maintain a consistent approach and to identify errors in indexes and content.

Your Business Matters automated this project using existing Microsoft Office tools. We moved the organisation and advertisement entries to a database, utilised Microsoft's Word and some efficient programming to extract the data and directly produce the directory. This resulted in:

  • Simple editing of organisation details in one location
  • More than one person can update details at the same time
  • Flexible, but standardised layout formats
  • The document is output ready for printing - the produced document is 95% commercial print ready, requiring only minor adjustments of unique entries before converting to a PDF and being sent to the commercial printer
  • On-going updating to the Directory is enabled so that the web-site can have the latest version at regular intervals

Automation of the COTA Directory of Services.

Following the successful implementation of the Seniors Card Directory, The Council on the Ageing (ACT) requested that we similarly automate production of their Directory of Services for the Aged.
